How VaultSwap Works

The complete guide for collectors. VaultSwap is a specialized marketplace for buying, selling, and trading rare collectibles — built with escrow-backed payments, condition-grading tools, and a collector community. Whether you ship across the country or meet locally for a hands-on inspection, this guide explains every step.

VaultSwap is a collectibles-focused marketplace where serious collectors, resellers, and investors buy, sell, and trade rare items — from trading cards and comics to coins, watches, and memorabilia. Every feature is built around the specific needs of collectible transactions, including condition grading, professional grading-company tracking, and escrow-backed payments.

Unlike generic platforms such as OfferUp, Facebook Marketplace, or eBay, VaultSwap is specialized. We surface item format (Sealed, Graded, CIB, Raw), professional grade, and seller reputation directly on every listing card — so collectors can evaluate an item at a glance rather than digging through unstructured descriptions.

Our core value props are curation, safety, collectible-specific features, and community. We combine secure shipping integrations with vetted local meetup standards, and we pair those technical safeguards with a reputation system, trust badges, and a forum where collectors authenticate and advise one another.

Buying on VaultSwap is designed to be transparent at every step — from searching with collectible-specific filters to confirming delivery and triggering the release of funds.

2.1 Creating an Account & Setting Up a Profile

Register with your email to create a profile. Once verified, you can manage purchases, maintain a list of favorites, post Wanted Ads (bounties), and interact with sellers. Your profile shows your masked name (first name + last initial) for privacy.

2.2 Searching and Browsing Collectibles

  • Filter by category — trading cards, comics, figures, coins, vinyl, and more.
  • Refine by condition, grading company (PSA, BGS, CGC, PCGS, etc.), and professional grade.
  • Set price ranges and fulfillment type (shipped, local, or both).
  • Search by location and radius for local pickups near you.

2.3 Understanding Listings

Every listing surfaces the details a collector needs:

  • Photos — high-resolution images of the actual item (stock images are prohibited).
  • Condition & format — Mint, Near Mint, Graded, Sealed, CIB, or Raw.
  • Price — per-unit price with bundled shipping rates shown where applicable.
  • Stock indicator — a "×N in stock" badge appears when a seller has multiple units available.
  • Fulfillment badges — clearly marked Shipped, Local, or both.
  • Trust signals — Pro badges, seller tier, and reputation badges from reviews.

2.4 Messaging Sellers and Asking Questions

Use the secure messaging system to ask about condition, request additional photos, or discuss a trade. Keep all communication on the platform — conversations moved off-platform are not protected by our dispute system.

2.5 Checkout Flow for Shipped Items

  1. Add the item to your cart (you can bundle items from the same seller to save on shipping).
  2. Proceed to Stripe Checkout and enter your payment and shipping address.
  3. Your payment is held securely — the seller is notified to ship.
  4. You receive tracking once the seller marks the order as shipped.
  5. A 48-hour dispute window begins when you confirm delivery.

2.6 Local Pickup Flow

  1. Message the seller to agree on a time and a public, well-lit meeting location.
  2. Inspect the item in person before finalizing the exchange.
  3. Follow the in-app safe-meetup checklist (below).
  4. Confirm the handoff on your Transactions page to release funds.

Safe Meetup Checklist

  • Meet in a public place — coffee shop, shopping center, or police station lobby.
  • Go during daylight hours.
  • Bring a friend or family member.
  • Inspect the item before completing the exchange.
  • Keep all communication on VaultSwap.

2.7 What Happens After Purchase

  • You'll receive notifications at each stage — order placed, shipped, delivered.
  • For shipped items, confirm delivery on your Transactions page to start the dispute window.
  • Leave a review with star rating and feedback tags — this builds the seller's reputation.
  • Confirming delivery within 24 hours of shipping earns you a VaultCoin bonus.

Selling on VaultSwap gives you specialized tools to create accurate listings, manage inquiries and offers, and fulfill sales by shipping or local meetup — all while building a verifiable reputation.

3.1 Creating a Seller Profile

Your account doubles as your seller profile. Set your shipping preferences (processing time, return policy, packaging arsenal) in your dashboard so they auto-apply to new listings. Your reputation — built from reviews, completed sales, and community contributions — is displayed to buyers.

3.2 Creating a Listing

  1. Enter a clear title and detailed description.
  2. Upload photos of the actual item (stock images are not allowed — a disclosure checklist confirms this).
  3. Select category, condition, and any professional grading details (company, grade, cert number).
  4. Use catalog autofill by entering the item's GTIN/UPC/ISBN to pull canonical product data.
  5. Set your price — optionally use the AI Price Suggestion tool for market-based guidance.
  6. Set quantity if you have multiple identical units.

3.3 Choosing Shipping vs Local Pickup

You can offer local pickup, shipping, or both:

Local PickupShipping
Best for high-value items a buyer wants to inspectReaches buyers nationwide
No shipping cost or packaging neededRequires packaging, label, and tracking
Buyer verifies condition in person48-hour dispute window protects both parties
Limited to your local areaBundled shipping saves buyers money on multi-item orders

3.4 Managing Inquiries, Offers, and Negotiations

Respond to questions through the messaging system. If you've enabled "Accept Offers," buyers can send custom price and quantity offers — you can accept, decline, or counter. Bundle offers let a buyer propose prices across multiple items in a single negotiation.

3.5 Completing a Sale

For shipped orders:

  • Package the item using the packaging method you selected (bubble mailer, slab box, etc.).
  • Purchase and print a shipping label from USPS, UPS, or FedEx.
  • Drop off the package and enter the tracking number on your Transactions page.
  • Ship within your stated processing time (1–3 business days) to maintain your "Speedy Shipper" reputation.

For local pickup:

  • Coordinate time and place through VaultSwap messaging.
  • Follow the in-app safe-meetup checklist.
  • Hand off the item and confirm completion on the platform.

3.6 Receiving Payouts and Understanding Fees

Funds are released to your connected Stripe account after the buyer confirms delivery or the 48-hour dispute window closes. A platform fee is deducted at that point — approximately 4% for free sellers and 2% for Pro sellers on transactions processed through VaultSwap checkout. Stripe's own payment-processing fees may also apply. See the Fees section below for the full breakdown.

3.7 Building Reputation

Your reputation is shaped by reviews, response speed, completed sales, and fulfillment reliability. Consistently fast shipping (within 24 hours) earns a "Speedy Shipper" badge. High review counts with low return rates earn "Trusted Seller" status. Fulfilling Wanted Ads builds your Bounty Hunter tier. All of these signals appear on your listings to give buyers confidence.

VaultSwap's built-in point-of-sale turns your phone into a card show register. Switch inventory between online and in-person instantly, sell for cash or card, and never double-sell again.

How Vending Mode works

Vending Mode reserves your listings for in-person selling. When a listing is in Vending Mode, it's temporarily hidden from online search and checkout — so you can't accidentally sell the same card to an online buyer while it's sitting on your show table. You control it two ways:

  • Per-listing toggle — each active listing in My Listings has an "Online / At Show" switch. Flip it to reserve that item for vending instantly.
  • Bulk Vending Mode — select multiple listings and use "To Vending" in the bulk action bar, or use the "Exit Vending Mode" banner to return everything to online in one click.

No session required: Vending Mode works on its own for cash sales. You don't need a pairing code or an active session — just flip the toggle and your inventory is reserved for the show floor.

Optional: Show Sessions for digital payments

When you want to accept card payments at a show, start a Show Session from the Show Checkout page (or the "Start Show Session" button in the Vending Mode banner). This generates a 4-digit pairing code and enables digital checkout on top of your already-reserved inventory:

  1. Start a session — get a 4-digit code from the Show Checkout page.
  2. Buyer links — they enter the code at the show checkout link on their phone.
  3. Ring up sales — your phone becomes the register; log cash or send digital payment requests.
  4. Buyer pays by card — Stripe checkout handles the payment securely.
  5. Session stays active — choose a duration from 4 hours to 3 days, and extend from the register if a show runs long.

Ending a show day

When the show is over, return your inventory to online in one step:

  • Exit Vending Mode from the banner on My Listings — this ends any active Show Session automatically and returns all reserved inventory to online availability.
  • Or end the session first (if you want to keep items reserved for another show day) — ending a session restores only non-vending inventory; Vending Mode items stay reserved until you exit.

Trust is the foundation of VaultSwap. We combine technical safeguards (escrow, trust badges) with behavioral best practices (safe meetups, community standards) and a structured dispute process.

4.1 How VaultSwap Builds Trust

  • Seller reputations and tier badges derived from completed sales, reviews, and fulfillment speed.
  • Trust badges (Trusted Seller, Speedy Shipper, Dedicated Buyer) shown on listing cards and profiles.
  • Community moderation — users can report listings, messages, or profiles that violate standards.
  • Anonymous name masking (first name + last initial) to protect privacy in public feeds.

4.2 Safe In-Person Meetups

  • Always meet in a public, well-lit location during daylight.
  • Bring a friend or family member.
  • Inspect the item before completing the exchange.
  • Prefer police station lobbies or busy shopping centers for high-value items.
  • Keep all coordination on the VaultSwap platform so there's a record.

4.3 Common Scams and How to Avoid Them

  • Fake payment confirmation: A buyer sends a screenshot of a payment that was never made. Always verify in your Stripe dashboard.
  • Overpayment scam: A buyer "accidentally" overpays and asks for a refund of the difference — the original payment then reverses.
  • Off-platform pressure: A buyer or seller insists on moving to text, email, or another app to bypass dispute protections.
  • Phishing links: A user sends a link claiming to be VaultSwap or Stripe. Never enter credentials outside the official site.

4.4 How Disputes Work

A 48-hour dispute window opens when a buyer confirms delivery. Common scenarios:

  • Item not as described: The buyer submits photos and a description of the discrepancy. VaultSwap reviews the listing and messages.
  • Item not received: If tracking shows no delivery, the buyer can open a dispute for a refund.
  • No-show for local pickup: The seller can cancel the transaction and, if needed, report the buyer.

If a dispute can't be resolved between buyer and seller, VaultSwap support reviews the evidence and issues a binding resolution, which may include a full or partial refund.

VaultSwap applies a platform fee only when an item sells through our checkout. The fee varies by account tier and fulfillment type. All payments are processed securely through Stripe.

Transaction TypePlatform Fee
Shipped order (free seller)~4%
Shipped order (Pro seller)~2%

Payment Methods

Buyers pay with credit or debit card through Stripe Checkout. Stripe's own processing fees may apply on top of the VaultSwap platform fee.

When Sellers Get Paid

Funds are released to your Stripe account after the buyer confirms delivery or the 48-hour dispute window closes. Your payout schedule (daily, weekly, monthly) is configured in your Stripe dashboard.

VaultSwap's referral program pays you a percentage of every sale your referrals make — for life. It's platform-funded royalty, not a deduction from the seller, and it's separate from the one-time signup bonus you both receive when they join.

Good to know: VaultCoins are a virtual currency with no cash redemption value. They can't be withdrawn, transferred as cash, or refunded for money — they exist to unlock premium features on the platform.

Can't find a specific collectible? Post a Wanted Ad with a coin bounty and let the community source it for you. Fulfilling bounties is a recognized path to reputation and bounty hunter ranking.

How a bounty works

  1. Post a Wanted Ad — describe the item you're hunting and attach a VaultCoin bounty.
  2. The community sources it — members find the item and list it for sale.
  3. A bounty hunter fulfills it — the listing is matched to your ad and the sale completes.
  4. Tokens transfer — the bounty coins are awarded to the hunter on completion.

Bounty hunter tiers

Every Wanted Ad you fulfill counts toward your bounty hunter ranking — a signal of reliability and sourcing skill shown on your profile.

Novice

Ace

Master

Bounties vs. listings: A regular listing is an item you already have for sale. A Wanted Ad bounty is a coin reward you offer to whoever can find an item you're looking for — the community does the sourcing for you.

The most common questions about VaultSwap, organized by topic. Each answer is concise and specific so you (and AI assistants) can find exactly what you need.

General

What is VaultSwap?

VaultSwap is a specialized online marketplace built for buying, selling, and trading rare collectibles such as trading cards, comics, figures, coins, stamps, vinyl, memorabilia, and more. Unlike general marketplaces, every feature is designed around the needs of serious collectors, including condition grading, grading-company tracking, escrow-backed payments, and a community reputation system.

Is VaultSwap free to use?

Browsing, searching, and messaging are free. Free accounts can list up to 7 active listings at a time. A platform fee is applied only when an item sells through our checkout. VaultSwap Pro subscribers pay a monthly or yearly fee in exchange for unlimited listings, reduced transaction fees, and advanced seller tools.

Who can use VaultSwap?

Anyone 18 or older with a valid email address can create an account. The platform is built for collectors, resellers, and investors of rare collectibles. You can be a casual hobbyist listing a few items or a professional dealer managing a large inventory.

Do I need an account to browse?

No. You can browse listings, categories, and forums without an account. You only need to register when you want to buy, sell, message a seller, post a Wanted Ad, or participate in the forums.

Buying

How do I pay for an item?

All payments are processed securely through Stripe Checkout. You can pay with a credit or debit card. For shipped items, your payment is held by Stripe until you confirm delivery, giving you a dispute window if something is wrong.

What if the item isn't as described?

You have a 48-hour dispute window after confirming delivery. If the item doesn't match the listing's description or condition, open a dispute from your Transactions page. VaultSwap support will review the evidence (photos, messages, listing details) and issue a resolution, which may include a full or partial refund.

Can I negotiate the price?

If a seller has enabled 'Accept Offers' on their listing, you can submit a custom offer with your desired quantity and price. The seller can accept, decline, or send a counter-offer. All negotiation happens through the platform so it's protected.

Can I bundle multiple items from the same seller?

Yes. If a seller offers shipping, you can add multiple items from their shop to your cart and check out together. Bundled shipping is calculated as the base rate for the first item plus a discounted rate for each additional item, which saves you money on shipping.

What does '×N in stock' mean on a listing card?

This indicates the seller has multiple identical units available for that listing. The number shown is the current available stock after accounting for any units already reserved in active checkouts.

Selling

How do I get paid?

Once a buyer confirms delivery (or the 48-hour dispute window passes for a shipped order), the funds are released to your connected Stripe account. Payout timing depends on your Stripe payout schedule, which you can configure in your Stripe dashboard.

What are the fees?

A platform fee is deducted from each sale processed through VaultSwap checkout. The standard fee is approximately 4% for free sellers and approximately 2% for Pro sellers. Local meetup transactions that are completed entirely off-platform may have no platform fee. Payment processing fees from Stripe may also apply.

How do I ship an item?

When an order is placed, you'll see the buyer's shipping address. You purchase and print a shipping label from your preferred carrier (USPS, UPS, FedEx), package the item according to the packaging method you selected, and drop it off. Enter the tracking number on your Transactions page so the buyer can follow the shipment.

How many listings can I have?

Free accounts can have up to 7 active listings at a time. VaultSwap Pro subscribers have unlimited active listings. Archived or sold listings don't count toward the limit.

Can I edit a listing after it's published?

Yes. You can edit title, description, price, images, and shipping settings from the listing's detail page (look for the Edit button if you own it). Listings that are already sold or traded are locked to preserve transaction integrity.

Card Shows & In-Person Vending

What is Vending Mode?

Vending Mode reserves your listings for in-person selling at card shows, conventions, or meetups. When enabled, those listings are temporarily hidden from online search and checkout so you can't accidentally double-sell an item you've brought to an event. You can toggle Vending Mode per listing or switch your entire inventory at once from My Listings.

How do I switch inventory between online and in-person?

On My Listings, each active listing has an 'Online / At Show' toggle — flip it to instantly reserve that item for vending. For bulk control, select multiple listings and use 'To Vending' in the bulk action bar, or use the 'Exit Vending Mode' banner to return everything to online in one click.

Do I need a Show Session to sell in person?

No. Vending Mode alone is enough if you're accepting cash. A Show Session is an optional layer you start when you want to accept digital (card) payments — it generates a pairing code that buyers enter on their phone to pay via Stripe checkout. You can run a full show day on cash-only Vending Mode, or start a session for mixed cash-and-card sales.

How does the Show Session pairing code work?

When you start a Show Session from the Show Checkout page, you choose a duration (4h, 12h, 24h, 48h, or 72h — default 12h) and get a 4-digit code. A buyer enters that code on their phone, which links them to your session. When you ring up a sale on your register, the buyer sees a payment request and pays by card through Stripe. You can extend the session from the register if a show runs long, and you'll get a reminder about an hour before it expires.

What happens to my inventory when the show ends?

If you started a Show Session, ending it restores any unsold session inventory — but only if Vending Mode is off. If Vending Mode is still active, ending the session leaves your items reserved offline. To return everything to online, use 'Exit Vending Mode' from the banner on My Listings — this also ends any active Show Session automatically.

Can I sell the same item online and at a show at the same time?

No — that's the point of Vending Mode. Items in Vending Mode are removed from online availability to prevent double-selling. When you exit Vending Mode, they're instantly available online again. This keeps your inventory counts accurate whether you sell in person or online.

Local Pickup

How do I arrange a local pickup?

If a listing offers local pickup, message the seller through VaultSwap to agree on a time and public location. Always meet in a well-lit, public place during daylight hours. Confirm the item's condition in person before completing the exchange.

What if the buyer doesn't show up?

If a buyer no-shows for a local meetup, message them through the platform to attempt rescheduling. If they become unresponsive, you can cancel the transaction from your Transactions page. Repeated no-shows can be reported to support, and the buyer's reputation may be affected.

Is local pickup safe?

VaultSwap provides a safe-meetup checklist for every local transaction. Key tips: meet in a public place (coffee shops, police station lobbies, shopping centers), bring a friend, inspect the item before paying, and keep all communication on the platform so there's a record of the agreement.

Should I accept cash for a local meetup?

If the transaction was processed through VaultSwap checkout, payment is already handled securely and you should not collect cash. If you arranged an off-platform local meetup, cash is common, but be cautious of counterfeit bills and always count the money before handing over the item.

Safety & Scams

What are common scams I should watch for?

Common scams include fake payment confirmations (a buyer sends a screenshot of a payment that was never sent), overpayment scams (a buyer 'accidentally' overpays and asks you to refund the difference), and off-platform pressure (a buyer insists on moving to text or email to avoid platform protections). Always keep communication and payment on VaultSwap.

How does VaultSwap protect me as a buyer?

Your payment is held by Stripe until you confirm delivery, giving you a 48-hour window to report issues. Our dispute system lets you submit evidence and receive a reviewed resolution. Seller reputations, trust badges, and completed-sale counts help you evaluate sellers before buying.

How does VaultSwap protect me as a seller?

Funds are captured at checkout before you ship, so you're not sending inventory on a promise. The dispute window is time-limited, and our review process examines listing accuracy and message history to protect honest sellers from false claims.

What should I do if I suspect a scam?

Stop communicating outside the platform immediately. Report the user from their profile or listing page using the Report tool. Our moderation team reviews reports and can issue infractions, suspend accounts, or remove listings that violate our standards.

Accounts & Pro

How do I upgrade to VaultSwap Pro?

Visit the Theme Store or your dashboard's subscription section. You can subscribe monthly for $4.99/month or yearly for $39.99/year. Payment is processed securely through Stripe, and you can manage or cancel your subscription at any time.

What are the Pro benefits?

Pro includes unlimited active listings, reduced platform fees (approximately 2% vs 4%), advanced analytics and profit tracking, automated pricing tools, a monthly allowance of VaultCoins, and exclusive profile customization options.

Can I downgrade from Pro?

Yes. You can cancel your Pro subscription at any time through your dashboard or via the Stripe billing portal. Your Pro benefits remain active until the end of your current billing period, after which your account reverts to the free tier.

What are VaultCoins?

VaultCoins are a virtual currency used for premium features like listing boosts, extra AI price suggestions beyond your free allowance, and ad campaign discounts. You can earn coins through community activity or purchase coin packs from $1.99 to $14.99.

Rewards & Economy

How does the referral royalty program work?

When someone joins VaultSwap using your referral link, you earn a percentage of every sale they make — forever. For the first 90 days after they join, you earn an elevated bonus rate (5% free / 8% Pro). After that, a flat forever rate applies (2% free / 3% Pro). Royalty is paid in VaultCoins by VaultSwap itself — it is not deducted from your referral's earnings, and it is separate from the one-time signup bonus you both receive when they join.

What are the referrer tiers?

Referrers rank up as they earn royalty and their referrals become active sellers: Scout (100 coins + 1 active referral), Ambassador (1,000 coins + 5 active), and Vault Architect (5,000 coins + 20 active). Higher tiers unlock a royalty rate boost, platform fee discounts, and exclusive profile themes.

What can I spend VaultCoins on?

VaultCoins power premium actions: boosting a listing for extra visibility, buying extra AI price suggestions beyond your free or Pro weekly allowance, discounting an ad campaign, and unlocking exclusive profile themes. Coins have no cash redemption value.

How do bounties and Wanted Ads work?

A Wanted Ad lets you post a bounty of VaultCoins for a hard-to-find item. Other members (bounty hunters) source the item, list it, and fulfill the bounty to earn the coin reward. Fulfilling bounties ranks you up as a bounty hunter: Novice (1+), Ace (5+), and Master (20+).
